In this article I would like to share a <strong>case study<\/strong> about <a href=\"https:\/\/www.willowspringsss.com\/\" target=\"_blank\" rel=\"noopener\">Willow Springs Strategic Solutions<\/a> (WSSS), an organisation focused on research-based community work, and how my <strong>tailor-made solution<\/strong> improved their efficiency and saved them hours of manual work.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">WSSS publishes <strong>elaborate reports and whitepapers<\/strong>, heavily based on archive material, secondary sources and community-based research. In addition to correct citation in footnotes and bibliographies, there was a <strong>central requirement<\/strong>with which they approached me:<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">For each cited document, a <strong>unique identifier<\/strong> needed to be issued in a <strong>document register,<\/strong> and added to the filename of each <strong>PDF file<\/strong> as these needed to be handed in with each report.<\/p>\n\n\n\n<h4 class=\"wp-block-heading\">All of this was done <strong>manually<\/strong> - but costing a lot of time and plenty of room for error!<\/h4>\n\n\n\n<h2 class=\"wp-block-heading\">The challenge<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">WSSS was looking for a solution that:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>improved collaboration and data collection,<\/li>\n\n\n\n<li>automated creation of citations and bibliographies,<\/li>\n\n\n\n<li>a tool to create document registers with unique IDs,<\/li>\n\n\n\n<li>automatically renames PDFs with IDs,<\/li>\n\n\n\n<li>and enables clean tracking of all sources used.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">The path to a solution<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">After an initial discussion about the current process and requirements of WSSS, I developed a customised solution based on <strong>Zotero<\/strong>. With the help of <strong>JavaScript code snippets,<\/strong>the new <strong>PDF-renaming functions of Zotero 7<\/strong> and <strong>Excel<\/strong> (using some VBA scripting) I created an efficient workflow that fits into the existing processes.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><a href=\"https:\/\/citationstyler.com\/wp-content\/uploads\/2025\/04\/WSSS-Zotero-workflow-manual-screenshot.png\" target=\"_blank\" rel=\"noopener\"><img decoding=\"async\" src=\"https:\/\/citationstyler.com\/wp-content\/uploads\/2025\/04\/WSSS-Zotero-workflow-manual-screenshot.png\" alt=\"WSSS - Zotero workflow manual screenshot\"\/><\/a><figcaption class=\"wp-element-caption\">The table of contents of the 14-page manual for using the customised workflow<\/figcaption><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">The implementation in detail<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">The custom workflow enables WSSS:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>to <strong>automatically assign a unique ID<\/strong> each cited document in a Zotero collection (using a JavaScript code snippet that is applied directly in Zotero)<\/li>\n\n\n\n<li>a tailor-made Chicago citation style that adds this <strong>ID directly into the citations<\/strong> when you cite <a href=\"https:\/\/citationstyler.com\/en\/custom-csl-style\/\">,<\/a>),<\/li>\n\n\n\n<li>automatical renaming of PDF files with the respective ID (using a customised renaming code)<\/li>\n\n\n\n<li>and export of all data in a <strong>structured CSV file<\/strong> to finalise the document register for hand-in (via VBA scripts)<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">The result<\/h2>\n\n\n\n<p class=\"wp-block-paragraph\">Through the <strong>automation, WSSS employees now save many hours of manual labour,<\/strong>. <strong>sources of error have been minimised<\/strong>and even last minute <strong>changes can be implemented quickly<\/strong>without having to manually revise all entries and files.<\/p>\n\n\n\n<p class=\"wp-block-paragraph\">I produced <strong>comprehensive manual<\/strong> that documents the entire workflow - a reliable reference work for all future projects. At the same time, the new solution enables organisation-wide, cloud-based access to all sources.
